About the Position
The Reception and Administrative Support provides reception and administrative services at the Vuntut Gwitchin First Nation (VGFN) Administration building in Old Crow.
Reporting to the Human Resources Manager, the Reception and Administrative Support’s responsibilities include but are not limited to:
- Directly interacting with employees, citizens, and the public. Providing reception and information services by greeting, assisting, and directing visitors to the appropriate office.
- Answering phone and email inquiries and, via email, relaying messages to other staff members. Maintaining a list of calls/inquiries and records in a call log.
- Maintaining calendar bookings for the Administration Building Boardroom.
- Providing administrative support to various departments/Administrative Assistants as needed, including, but not limited to financial tasks, data entry, and assisting with meeting preparations (compiling and packaging materials).
- Ensuring the front reception area, meeting room and boardrooms are clean, tidy and safe. Ensuring boardroom is cleaned between bookings.
- Monitoring computer stations available for public use and provides support for copying, scanning, faxing, and emailing, when required.
- Managing all mail, including collecting mail, stamping received with date, entering a mail log and then distributing to appropriate department.
- Shipping/receiving parcels to the office and ensuring appropriate department is notified and items delivered/stored daily.
- Assisting with display set ups in the administration building and keeping materials and displays organized and presentable. Assisting with special events taking place onsite.
- Ensuring coffee is made daily and the kitchen and all coffee station areas are cleaned daily. Maintains a kitchen supply inventory and provides purchase order requests to the Human Resources Manager, as required.
- Providing information to employees and the public about office events, activities and closures.
- Monitoring the reception@vgfn.ca email account.
- All other duties as required for the efficient operation of the reception and meeting areas.
What we offer
- $36.57 - $54.85 per hour/per annum (Based on education and experience).
- Flexible work hours: employees can choose to work 65, 70, 75, or 80 hours biweekly (some guidelines will apply).
- 4% Northern Community Remoteness Allowance for employees residing in Old Crow full-time.
- 4% Northern Travel Allowance for employees residing in Old Crow full-time.
- 4 weeks’ vacation to start plus two weeks paid time off over the Christmas season.

What you bring
- Office Administration certification or equivalent combination of training and experience in customer service.
- Experience providing administrative functions and maintaining presentable and efficient office environments.
- Proficient with computer programs including Microsoft Office Suite.

Heritage Interpreter
